Privacy and personal information

This is a review draft of how Tax Relief SA handles personal information given during an enquiry. It is published for legal review and is not a final, certified policy. It must be aligned with the actual legal entity, processing details and service providers before it goes live.

Review draft - not a certified compliance statement

This draft sets out the categories a live privacy policy must cover. It does not certify POPIA or any other compliance. Retention periods, processor contract terms and a named privacy officer must be confirmed against the actual entity and processing arrangements before publication. Where a detail is not yet verified, the draft says so plainly rather than guessing.

Who we are

Tax Relief SA is an independent tax assistance and dispute advisory service. We are not SARS. The legal entity that owns and operates this website must be confirmed by the owner and stated here before this policy goes live. Until then, references to "Tax Relief SA", "we" and "us" mean the operating entity to be named on publication.

What information is collected

We collect only what is needed to respond to an enquiry and assess a tax matter. The assessment form asks for:

  • Your name, so we can address you and keep a record of the enquiry.
  • One preferred contact method and its value - a phone number or an email address.
  • The tax issue category you select, and optional details such as taxpayer type, an urgent-notice indicator and a broad debt band.
  • Any brief context you choose to add in the notes field.
What we do not collect: We do not ask for, and you must never submit, eFiling passwords, bank PINs, one-time passwords (OTPs), full identity numbers or financial documents through the initial enquiry form. Sensitive documents are collected through a secure channel only after a written scope is agreed.

Why we use it

  • To respond to your enquiry and carry out an initial confidential assessment.
  • To contact you through your chosen method during business hours.
  • To prepare a written scope and fee quotation, where one is requested.
  • To meet record-keeping obligations that apply to an advisory engagement, where one is formed.

Marketing consent is separate from your assessment request and is never preselected. If you opt in to occasional tax update summaries, you can opt out at any time.

Who receives your enquiry

Your enquiry is received by Tax Relief SA and processed through the enquiry-handling system connected to this website. The actual service providers, their roles and whether any cross-border processing occurs must be confirmed against the live integration and stated here before publication. We do not sell your personal information. Where a specialist matter requires input outside our confirmed scope, we will tell you before any information is shared.

How long we keep it

We keep enquiry information for as long as is needed to respond to you and for the record-keeping period that applies to any engagement formed. The specific retention periods - for enquiries that do not become engagements, and for records created during an engagement - must be confirmed against the actual entity's obligations before this policy goes live. We do not invent retention periods here.

Your rights

  • To ask what personal information we hold about you.
  • To request correction of information that is inaccurate or out of date.
  • To withdraw consent for marketing communications at any time.
  • To ask us to delete enquiry information, subject to the record-keeping obligations that apply to an engagement.

Only what is needed to respond to your enquiry: your name, one preferred contact method and its value, the tax issue category, and optional details such as taxpayer type and a broad debt band. We do not collect passwords, OTPs, full identity numbers or financial documents through the initial form.

Who receives my enquiry?

Tax Relief SA and the enquiry-handling system connected to this website. The actual service providers and any cross-border processing must be confirmed and stated here before publication. We do not sell your personal information, and we tell you before sharing anything where a specialist matter requires outside input.

How do I make a privacy request?

Contact us by phone or email using the details above. You can ask what we hold, request a correction, withdraw marketing consent, or ask us to delete enquiry information subject to the record-keeping obligations that apply to an engagement. A named privacy officer will be confirmed before this policy goes live.

This is a non-live review draft. It must be aligned with the actual legal entity, service providers, retention periods and cross-border processing details, and receive legal approval, before publication. It does not certify POPIA or any other compliance. Frontend form creation is not the same as verified data persistence; account-side configuration and testing are required.
